Understand User Types and Permissions in OnRamp

OnRamp is built for flexibility. Whether you're setting up onboarding projects, managing integrations, or just completing assigned tasks, user types help define what each person can see and do. This article explains the different roles and their permissions so you can assign the right access with confidence.


Before You Begin

  • You’ll need Super Admin access to update user roles or invite internal users.


Steps to Follow

1. Review the Available User Types

User Type

Ideal For

What They Can Do

Super Admin

CS Leadership, Operations, IT

Full access across the platform. Can manage users, settings, data fields, integrations, and all project data.

Integrator

CS Ops, RevOps, IT

Configure integrations (e.g., CRM, Zapier, Webhooks). Cannot create or own projects.

Creator

Onboarding Leads, CSMs

Create and manage projects and playbooks. Cannot manage users or platform settings.

Collaborator

Onboarding Specialists, Exec Stakeholders

Participate in assigned projects, complete tasks, leave comments, and view project data.

Contributor

Cross-Functional Stakeholders

Complete assigned tasks and interact with the onboarding team. Very limited visibility.

Customer

Your Customers

Can join onboarding projects by invite, complete tasks, and view shared resources. No internal access.

💡 Customer users are unlimited and only see what’s shared with them in a specific project.


2. Compare Permissions by Role

Here’s how permissions break down across internal user types:


3. Add or Update a User's Role

To assign someone the correct access level:

  1. Go to Settings > Users

  2. Click + Add User or select an existing user

  3. Choose the appropriate User Type (e.g., Creator, Contributor)

  4. Click Save

You can also invite Customer Users directly from a project using the Invite option. They’ll only see tasks and resources shared with them.


Tips & Troubleshooting

  • Seeing “Access Not Permitted”?
    This message appears when a Contributor or Customer User tries to access a restricted area.

  • Not sure what role to assign?
    Start with Collaborator for most internal team members. Use Creator or Super Admin for leads.

  • Need to manage integrations only?
    Use the Integrator role for technical team members who don’t need project access.
