Set Up OnRamp for Your Organization

Use this when you're new to OnRamp or launching a new workspace for a customer.

This guide walks you through the initial admin setup of OnRamp, so your team can hit the ground running. You’ll learn how to configure your portal, invite users, connect integrations, and prepare templates for repeatable success.

Use this when you're new to OnRamp or launching a new workspace for a customer.


Before You Begin

Make sure you:

  • Have Admin access to OnRamp

  • Know your desired branding, teams, and workflow tools (like Salesforce, HubSpot, or Slack)

  • Have your playbooks or onboarding steps handy, if applicable


Steps to Follow

  1. Set Up Your Profile

    This is your home base. Add your name, upload a photo, and personalize things a bit. Your profile shows up in comments, assignments, and dashboards—so it helps your team (and your customers) know who’s who.

    • Click your avatar in the top right corner

    • Select My Profile

    • Upload a photo and add your details

  2. Customize Your Portal Branding

    Make the portal feel like yours. You can add your logo, set your brand colors, and even adjust the language. This is what your customers will see, so it's worth making it feel polished and on-brand.

    • Go to Settings > Portal

    • Upload your logo and set brand colors

    • Update default language and time zone


  3. Invite Users and Set Permissions

    OnRamp is all about collaboration. You’ll want to add your team (internal users) and your customers (external users) so everyone can see tasks, leave comments, and get stuff done.

    • Go to Administration > Users

    • Click Add User and choose a role:

      • Internal: your team members

      • Customer: users at the organization you're onboarding

    • Assign appropriate permissions by role

  4. Configure Data Fields

    Every company tracks slightly different info—this is where you tell OnRamp what matters to you. Want to track “Kickoff Date” or “Industry Type”? Add it here.

    • Navigate to Settings > Data Fields

    • Add or edit custom fields for Projects, Tasks, or Users

    • Choose field types (text, dropdown, date, etc.) and visibility

  5. Connect Integrations

    If you’re using tools like Salesforce, HubSpot, or Slack, you can connect them here. This way, you don’t have to copy-paste things between systems—OnRamp keeps everything talking to each other.

    • Go to Settings > Integrations

    • Choose apps like Salesforce or HubSpot

    • Follow prompts to authorize and map fields

  6. Create or Import Playbooks

    Think of a playbook like a recipe for onboarding. It holds all your repeatable steps, tasks, and timelines. You can build one from scratch or use a template.

    • Go to Library > Playbooks

    • Create new onboarding steps or import templates

    • Define modules, tasks, and automation rules

  7. Assign Tasks by Role

    Not every task should go to the same person every time. With role-based assignments, you can say “this task always goes to the CSM” or “this part is for the customer.” Set it once, and OnRamp handles the rest.

    • In your playbook, open a task and choose an Assigned Role

  8. Test Everything with a Dummy Project

    Before inviting real customers, try it out yourself. Launch a test project, assign tasks to teammates, and walk through it like you're the customer. It’s the best way to catch anything that feels clunky.

    • Create a test project

    • Run through it and tweak anything that doesn’t feel right


Tips & Troubleshooting

  • Portal not matching your brand? Try clearing cache or reloading with a hard refresh (Cmd+Shift+R).

  • Users not seeing tasks? Check task visibility settings in the Playbook or Task editor.
