Project Schedule Timeline

What Is the Project Schedule Timeline?

The Project Schedule Timeline gives you a bird's-eye view of your entire onboarding portfolio laid out on a visual timeline. At a glance, you can see which projects are running in parallel, where capacity is concentrated, whether projects are running ahead or behind their original schedule, and how workload is distributed across owners and accounts.

This is the go-to view for CS managers and onboarding leads who need to plan resourcing, spot upcoming bottlenecks, and maintain portfolio visibility without opening every project individually.

How to Access It

Navigate to Insights → Capacity & Planning → Project Schedule Timeline.

What You'll See

Timeline Chart

The upper portion of the view displays a horizontal timeline with color-coded bars representing each project:

  • Blue — In Progress
  • Orange/Yellow — At Risk
  • Red — Off Track
  • Green — Completed

A vertical "NOW" marker (red line) shows today's date, making it immediately clear which projects are overdue, currently active, or upcoming.

Hover over any bar to see a tooltip showing: project name, account, owner, start date, due date, progress percentage, and status.

Click any project bar to open a detail panel on the right side of the screen. From this panel you can view and edit: project name, owner, account, description (rich text), start/end dates, value, affiliated accounts, status, live status, segment, and onboarding status. A Recent Activities & Upcoming Tasks section is also accessible from this panel. Navigate between projects using the arrow controls at the top (e.g., "5 / 24").

Timeline View Toggle

Switch between Week | Month | Quarter granularity using the tabs above the chart. Use Quarter for portfolio-level planning, Month for operational scheduling, and Week for day-to-day coordination.

Fullscreen Mode

Click the expand icon (top-right of the chart area) to view the timeline in fullscreen — ideal for large portfolios or team planning sessions.

Data Table

Below the timeline is a sortable table with one row per project. Columns include:

  • Project Name, Account, Owner, Value, Health, Status
  • Current Start / Original Start / Start Variance — How many days the start date has shifted from the original plan
  • Current End / Original End / End Variance — Days the end date has shifted from original (negative = ahead of schedule shown in green; positive = delayed shown in red)

Click any column header to sort by that field.

Summary Bar

The bottom bar displays portfolio-level stats: Total projects · Off Track count · At Risk count · Avg Progress %.

Filters & Controls

  • Date Range — Set the window of time shown on the timeline.
  • All Accounts / All Owners / All Statuses — Filter to specific segments, team members, or project statuses.
  • Data Field — Add an optional custom field column to the view (e.g., Go-Live Goal Date, Segment).
  • Group By — Group timeline rows by None, Owner, Status, or a custom data field.
  • Sort By — Sort projects by Start Date, Due Date, or Progress.
  • Apply — Click to apply all selected filter changes at once.

Tips for Getting the Most Out of This View

  • Use Group By → Owner to instantly see workload distribution across your team and assess whether load is balanced.
  • Filter to Status: At Risk to isolate only the accounts needing immediate attention on the timeline.
  • Use the Start Variance and End Variance columns to identify projects that have drifted significantly from their original schedule — these are early signals of scope creep or resource gaps.
  • Switch to Quarter view when planning team capacity for the next 90 days.
  • The Data Field option lets you surface things like Go-Live Goal Date directly in the table — helpful when tracking against customer commitments.
