Using the Data Fields Tab in a Project

The Data Fields tab in a project allows you to view and update structured information associated with that project.

Data fields help store important information about the project such as:

  • Customer segment

  • Implementation details

  • Target launch dates

  • Internal tracking fields

These fields can then be used for reporting, automation, and personalization across OnRamp.


Viewing Project Data Fields

To view project data fields:

  1. Open a Project

  2. Click the Data Fields tab

You will see a list of fields that belong to the project, including:

  • Name – the label of the data field

  • Location – where the field is stored (Project, Account, etc.)

  • Type – the field format (dropdown, date, text, etc.)

  • Visibility – whether the field appears in the project task list view

  • Current Value – the value currently assigned to the field

Internal users can update the value directly from this screen.


Updating Data Field Values

To update a data field:

  1. Click the Current Value field

  2. Select or enter the new value

  3. The update will save automatically

These values can be used across the platform in areas such as:

  • Project reporting

  • Workflow automations

  • CRM integrations

  • Task or portal personalization


Data Field Visibility

Each data field includes a Visibility column that determines whether the field appears in the Project List view.

Two visibility states are available.

Visible (Green Eye Icon)

When the visibility icon shows a green eye, the data field will appear at the top of the task list in the List tab.

This makes the field easy to reference while working inside the project.

Common examples include:

  • Customer Segment

  • Go-Live Goal Date

  • Implementation Type

These fields appear above the modules and tasks for quick visibility.


Hidden (Red Eye with Line)

When the visibility icon shows a red eye with a line through it, the field is hidden from the project List view header.

The field still exists in the Data Fields tab, but it will not appear above the task list.

This is useful for fields that are:

  • Used only for reporting

  • Used in automations or workflows

  • Not necessary for daily project work


Adding Optional Data Fields

Projects may include optional data fields that are not automatically added.

From the Data Fields tab, you can click:

+ Add Optional Data Field

This allows you to add additional predefined fields to the project when needed.


Managing Data Field Definitions

If you need to modify the structure of a field (such as its type or options), click:

Manage Data Fields

This opens the configuration area where administrators can manage the available fields used across projects.


How Data Fields Are Used

Project data fields commonly support several workflows across OnRamp.

Reporting

Fields can be used in Insights and reporting dashboards to analyze trends such as:

  • Implementation timelines

  • Customer segments

  • Project ownership


Automations

Data fields can trigger workflow automations or external integrations.

For example:

  • Updating a CRM property

  • Triggering a webhook

  • Driving automation rules


Project Context

When visible in the List tab, data fields provide important project context for internal users while working through tasks.


Best Practices

Use visible fields for information teams reference frequently
Hide fields used only for reporting or automation
Standardize fields across playbooks to keep reporting consistent
Avoid adding unnecessary fields that teams won’t maintain
