Using the Project Task List View

The Project Task List View is the primary place where teams manage work within a project. It provides a structured view of all modules and tasks, allowing internal teams to track progress, update tasks, and adjust schedules.

From the task list view, users can:

  • View all modules and tasks in the project

  • Expand or collapse modules

  • Complete tasks

  • Update task dates

  • Assign task owners

  • Filter tasks within the project

  • Adjust visible columns and layout

  • Track project progress

This view acts as the central workspace for executing onboarding projects.


How Tasks Are Organized

When a project is created, its structure is based on the playbook used to create it.

This means:

  • Modules appear in the order defined in the playbook

  • Tasks appear within those modules in the same order they were configured

However, tasks and modules can still be adjusted within the project.

Users can drag and drop modules or tasks to reorganize them if the project workflow needs to change.

This allows teams to adapt timelines or restructure work for a specific customer without changing the underlying playbook.


Task Information Displayed

Each task row provides several pieces of information that help teams understand the work being tracked.

Common fields include:

  • Task Name

  • Status

  • Progress

  • Start Date

  • Due Date

  • Assignee

  • Tags

  • Comments

  • Dependencies

  • Subtasks

These details help teams quickly understand what needs to be done and when it should be completed.


Customizing Columns

The task list view is customizable.

Users can:

  • Show or hide columns

  • Add task data fields as columns

  • Reorder columns

This allows teams to tailor the task list to display the information most important to their workflow.

For example, teams often add columns such as:

  • Task data fields

  • Dependencies

  • Comments

  • Tags

Columns can be adjusted using the Columns control in the task list view.


Filtering Tasks in the Project

The task list view includes inline filters that allow users to quickly focus on specific tasks.

Common filters include:

  • Task Name

  • Task Type

  • Assignee

  • Tags

  • Overdue tasks

Additional quick filters are available such as:

  • Has comments

  • Hide completed tasks

  • Hide modules with no task results

These filters make it easier to focus on active work or identify tasks that need attention.


Completing Tasks

Tasks can be completed in several ways from the task list view.

Complete from Task Actions

If the Task Actions column is visible, tasks can be completed with a single click by selecting Complete Task.


Bulk Complete Tasks

Multiple tasks can be selected and completed at once using the bulk actions menu.

This is useful when closing out several tasks together.


Complete from Within the Task

Tasks can also be completed by opening the task and selecting Complete Task within the task view.

This option appears alongside the task’s subtasks and responses.


Expanding Tasks

If a task contains subtasks, you can expand it to view all subtasks directly within the project task list.

When expanded, you will see additional information for each subtask, including:

  • Subtask name

  • Status (Not Started, In Progress, or Completed)

  • Progress or response status

If a subtask collects responses and no answers have been submitted yet, the progress column will display “Not Yet Answered.”

For subtasks that already contain responses, you can click the eye icon next to the subtask to preview those answers.

Selecting this icon opens a slide-out panel on the right side of the screen, allowing you to view the submitted responses without leaving the project task list view.

This makes it easy to quickly review responses while continuing to manage tasks within the project.
