Create and Collaborate on Account Notes

Last updated: March 10, 2026

Account Notes provide a shared space for your team to capture important information about a customer.

Instead of storing context in scattered emails or private documents, notes allow your team to keep customer insights, updates, and collaboration directly within the account record in OnRamp.

These notes are internal only and help teams stay aligned while working across multiple projects with the same customer.

Because notes live at the account level, they remain accessible across all projects associated with that customer.

What Account Notes Are Used For

Account Notes are commonly used to capture things like:

  • Key customer contacts and stakeholders

  • Customer preferences or working styles

  • Implementation considerations

  • Historical context from previous projects

  • Important decisions made during onboarding

  • Internal reminders or operational details

They act as a shared internal knowledge base for the customer relationship.

Where to Find Account Notes

Account Notes are located within the Account record.

To access them:

  1. Navigate to Accounts

  2. Open the account you want to view

  3. Select the Notes section

From there, you can view existing notes or create new ones.

Creating a New Account Note

To add a note:

  1. Open the Account

  2. Navigate to the Notes section

  3. Click Add Note

  4. Enter the Note Title

  5. Write the note content

  6. Optionally add Tags

  7. Save the note

Once saved, the note becomes part of the account’s internal record.

Note Structure and Metadata

Each Account Note includes several helpful attributes to make information easier to organize and find.

Title

Every note has a title, making it easier to quickly identify the purpose of the note in the list view.

Examples might include:

  • “Implementation Kickoff Notes”

  • “Customer Security Requirements”

  • “Renewal Discussion Summary”

Tags

Notes can be tagged to help categorize and organize information.

Tags can be used to group notes around topics such as:

  • Implementation

  • Security

  • Contract Terms

  • Product Feedback

Tagging makes it easier to locate related notes later.

Created Date and Author

Each note also includes metadata showing:

  • Who created the note

  • When it was created

This helps teams understand the context and timeline behind the information being recorded.

Commenting and Collaboration

Account Notes also support comments, allowing team members to collaborate directly within the note.

This allows your team to:

  • Ask follow-up questions

  • Add additional context

  • Provide updates related to the note

Comments help keep discussions connected to the original information instead of spreading across multiple tools.

Why Use Account Notes

Using Account Notes helps teams:

  • Maintain consistent customer knowledge

  • Preserve context between projects

  • Improve internal collaboration

  • Reduce reliance on external documentation

They serve as a central internal record for customer context inside OnRamp.

Best Practices

Use clear and descriptive note titles
Tag notes to make them easier to find later
Document important decisions or customer preferences
Add comments instead of creating duplicate notes
Capture context that future project teams may need

Account Notes work best when they become your team’s shared source of truth for customer knowledge.
