Send OnRamp email from your own domain
Last updated: September 28, 2026
What this does
Every email OnRamp sends for your organization, such as task reminders, weekly summaries, portal invitations and export notifications, goes out from OnRamp's shared address, notifications@onramp.us, with your organization's name as the sender. Enhanced email sending lets those emails come from an address at a domain you own instead, such as onboarding@yourcompany.com, signed as your domain so mail clients show it as yours rather than "via onramp.us".
You prove you own the domain once, by publishing three DNS records. After that, OnRamp sends as your address until you switch it off.
What you need before you start
You need | Why |
|---|---|
The Super Admin role in OnRamp | Only Super Admins see Settings → Advanced → Enhanced email sending. |
A domain your organization controls | Public mailbox providers such as gmail.com or outlook.com cannot be used, because you cannot publish DNS records for them. |
Someone who can add DNS records for that domain | Usually your IT team or whoever manages your website's DNS. They will add three CNAME records. |
A real mailbox for the From address | When a recipient replies to an OnRamp email, the reply goes to this address. Use a shared inbox your team reads, such as |
Up to an hour after the records are published, occasionally longer | DNS changes take time to reach our email provider. It keeps checking on its own for 72 hours. |
Set it up
1. Open the page. Go to Settings → Advanced → Enhanced email sending. The status tag reads OnRamp sending.
2. Enter your sending address. In From address, enter the mailbox you want mail to come from, for example onboarding@yourcompany.com. In Sender name, enter the name recipients should see next to the address. It starts as your organization name. Click Save address.
The status changes to Waiting on DNS and the Publish these DNS records card fills with three rows.
3. Publish the DNS records. Send the three rows to whoever manages DNS for your domain, or add them yourself. Each is a CNAME record:
Field | What to enter |
|---|---|
Name (host) | The value in the Name column, for example |
Type | CNAME |
Value (points to) | The value in the Value column, ending in |
Publish all three. Nothing else about your domain's mail setup changes. You do not need to edit SPF or MX records, and email you send from your own mail system is unaffected.
4. Check verification. Once the records are published, click Check verification. If DNS has not caught up yet the page says so. Wait a while and check again. When our provider confirms the records, the status changes to Verified.
5. Turn it on. Switch on Send from this address and click Save address.
Your address is now verified and saved. OnRamp is completing the switch of its mail delivery to verified addresses. Until that is done, mail continues to go out from OnRamp's shared address and the page shows Verified — not in use yet. When the switch happens your mail moves to your address automatically, with nothing more for you to do.
Change or remove your address
Use a different address at the same domain. Edit From address and save. The domain is already verified, so sending continues without re-verifying.
Move to a different domain. Edit From address to the new domain and save. Mail returns to OnRamp's shared address while the new domain verifies, the page shows new DNS records, and the old domain is released. Publish the new records and check verification as before.
Return to OnRamp sending. Click Return to OnRamp sending at the bottom of the page and confirm. Mail goes back to OnRamp's shared address immediately, and the domain is released so it can be set up again later by your organization or another.
Common questions
Why does the status say "Verified — not in use yet"?
Your domain is verified and your address is saved. OnRamp is completing the switch of its mail delivery to verified addresses. Nothing is needed from you. Your mail will move over automatically.
Why can't I use my Gmail or Outlook address?
Verification works by publishing DNS records for the domain. You cannot publish records for gmail.com or outlook.com, so those addresses cannot be verified. Use an address at a domain your organization owns.
It says the domain is already being used by another organization.
Each domain can be verified by one OnRamp organization at a time. If this is your domain and another organization has claimed it, contact OnRamp support.
Verification failed. What now?
Our provider looks for the records for 72 hours, then stops. Check each record's name and value against the page. A common mistake is a DNS provider that appends your domain to the host automatically, producing abc123._domainkey.yourcompany.com.yourcompany.com. Fix the records, then click Save address again to restart verification.
Do I need to change SPF or DMARC?
No. OnRamp signs your mail with DKIM for your domain, which is what DMARC checks. If your organization enforces a DMARC policy, mail sent by OnRamp will pass it once the domain is verified.
Where do replies go?
To your From address. Today replies to OnRamp email go to OnRamp's shared address, where nobody on your team sees them. Once your mail sends from your own address, replies land in that mailbox, so pick one your team monitors.
Which emails are affected?
All email OnRamp sends on behalf of your organization, to both your team and your customers.
Who can change this?
Owners only. Other roles do not see the page.
