Tasks are the building blocks of your projects. With OnRamp’s Subtask and Task Builder, you can break tasks into clear step-by-step instructions, add logic for different paths, and create a consistent process for your team and customers.

When to Use This

Use tasks to assign work to team members or customers. Add workflows when you want to guide users through a series of steps, questions, or approvals—perfect for onboarding, handoffs, or process-driven work.

Steps to Follow

1. Create a Basic Task

  1. Go to the Playbook or Project where you want the task to live.

  2. Click the [+New Task] button.

  3. Enter the required details:

    • Name – A clear title for the task.

    • Assignee – The person responsible.

  4. (Optional) Add a Description for context.

  5. Click Save.

2. Open the Task Builder

  1. Locate the Subtasks column in your task list.

  2. Click the Open Task Builder icon.

  3. The Task Builder opens, where you can add and organize subtasks.

3. Add Steps to a Task

  1. Choose a Step Type from the menu:

    • Single Choice (radio buttons)

    • Multi-Choice (checkboxes)

    • Dropdown

    • Yes/No Question

    • Text Answer (short or long)

    • File Share or File Request

    • Date or DateTime

    • Text Instructions (rich text editor for detailed guidance)

    • Share a Video (upload or embed from YouTube)

    • Embeddable (any URL or HTML embed)

    • Adobe ESign (requires integration)

  2. Drag your chosen task into the central tree view.

  3. Configure each step in the right-hand panel.

  4. To delete a step, use the trash can icon.

4. Use Logic for Smarter Tasks

  1. Add a Yes/No, Dropdown, or Single Choice step.

  2. Logic branches appear automatically.

  3. Click (+) on a branch to add subtasks that show only when that option is selected.

    • Example: If a user answers Yes, add a set of follow-up steps.

    • If No, skip those steps and continue the workflow.

  4. Logic can nest multiple levels deep for advanced flows.

5. Customize Task Settings

When creating or editing a task, you can also:

  • Add Dependencies to control task order.

  • Set Visibility (internal-only or customer-facing).

  • Require steps to be completed in order or allow flexibility.

  • Ask for Customer Feedback (thumbs up/down) when the task is complete.

  • Attach Data Fields to track custom information.

Tips & Troubleshooting

  • Not seeing the [+New Task] button? Make sure you’re in a Module, as tasks must live under modules.

  • Workflow logic isn’t showing? Only Yes/No, Dropdown, and Single Choice steps support branching.

  • Task isn’t visible to customers? Double-check visibility settings in the task editor.
