Assigning Roles & Tasks

During project creation, you map real people to each role — and all tasks tied to those roles are automatically assigned.

Overview

Task Roles are job-function placeholders (like Onboarding Lead or Account Manager). You create roles once in Settings → Task Roles, then use the Roles (Role Restrictions) field when building tasks in Playbooks/projects. During project creation, you map real people to each role — and all tasks tied to those roles are automatically assigned.


Before You Begin

  • You can access Settings → Task Roles.

  • Decide which roles your onboarding projects typically need (keep them functional, not tied to specific people).

  • Make sure teammates you’ll assign have OnRamp access.


Step 1: Create Task Roles (one-time setup)

  1. Go to Settings.

  2. Click Task Roles.

  3. Select + Add Role.

  4. Enter a Role Name (e.g., Onboarding Lead, Solutions Engineer).

  5. (Optional) Add a Description so teammates know when to use it.

  6. Save.

💡 Tip: Keep your role list lean (5–10 roles). Clear, job-function names make mapping simple.


Step 2: Add Roles to Tasks (Playbooks & Projects)

When you create or edit a task:

  1. Find the Roles (Role Restrictions) field.

  2. Choose which roles should be eligible for this task.

    • Example: A “Kickoff Call” task might be restricted to the Onboarding Lead role.

  3. Save the task.

This doesn’t assign a person yet — it defines which role will eventually own this task.


Step 3: Assign People to Roles during Project Creation

  1. Go to Projects → Create Project.

  2. Start From a Playbook (recommended) or Blank Project.

  3. In the Role Assignment step, map each Task Role → teammate from your organization.

  4. Finish creating the project.

Result: every task with that role restriction is now assigned to the person you mapped.


Working with Tasks & Subtasks

  • Tasks reference roles (via Role Restrictions).

  • Subtasks inherit context from the parent task. Add instructions inside subtasks for clarity (checklists, file requests, forms, etc.).


Tips

  • Build once, reuse everywhere: Always tie Playbook tasks to roles, not specific people.

  • Reassign anytime: If responsibilities shift mid-project, you can reassign a task to a different teammate.

  • Keep it consistent: Use the same role names across Playbooks so setup is predictable.


Troubleshooting

  • Don’t see Task Roles? You may not have Settings access — check with your OnRamp admin.

  • No role options when creating a project? That Playbook’s tasks may not have any Role Restrictions set. Edit the Playbook to add them.


✅ With Task Roles in place, projects stay organized — tasks flow to the right people automatically.
