Setting a Custom Portal for a Workflow

Overview
Workflows include an optional Project Portal step that lets you pin a specific Portal Studio portal to the projects a workflow (or a branch of it) creates.
Availability: This step only appears for vendors with Portal Studio enabled. If you don’t see it in your workflow builder, ask your OnRamp contact to enable Portal Studio for your account.
Before you start
• You’ll need at least one published Portal Studio portal to choose from.
• The workflow’s Configure project from playbook step must be set to single-playbook mode (the step isn’t available in multi-playbook branching mode).
How to set the portal
1. Open the workflow in the workflow builder.
2. Find the Project Portal card alongside the other project setup steps (Project Title, Project Owner, Project Dates, etc.).
• The card reads “Default: [Portal Name]” until you configure it, showing which portal the project will get if you leave the step as-is.
3. Click the card to open it.
4. Use the dropdown to select a portal from your vendor’s list of published Portal Studio portals.
5. Save the workflow.
Every project this workflow (or branch) creates will now use the portal you picked.
Setting a portal per branch
The Project Portal step is configured per branch, so different branches of the same workflow can point to different portals.
Clearing the selection
Open the Project Portal step and clear the selected portal. The card will return to showing its default portal, and projects created from this workflow will use that default.
Notes
• Your selected portal must remain a live, published Portal Studio template for your vendor in order to apply. If it’s later unpublished, the card’s default takes over automatically — you don’t need to update the workflow, though you should pick a new portal if you still want an override.
• This step supports copy/paste of settings, the same as the other Managed steps in the workflow builder.

Q: Where do I turn on Portal Studio if I don’t see this step?
A: Portal Studio is enabled per vendor. Contact your OnRamp representative to have it turned on for your account.
Q: Can I set a different portal per branch of the same workflow?
A: Yes — configure the Project Portal step separately on each branch you want to point at a specific portal.
Q: What happens if I pick a portal and then unpublish it in Portal Studio?
A: The workflow automatically falls back to the card’s default portal. Pick a new portal in the step if you still want an override.
