Using the Portal Tab

The Portal tab allows internal users to preview the customer-facing view of a project. This is where customers track progress, complete tasks, view updates, and collaborate with your team.
The portal provides customers with a clear understanding of their onboarding progress and the steps required to move forward.
Accessing the Portal
To open the portal preview for a project:
Open a project.
Click the Portal tab in the project navigation.
This displays the customer-facing version of the project, allowing internal users to see exactly what customers will experience.
This view is helpful for confirming:
Which tasks are visible to customers
How project progress appears
How instructions and tasks are presented in the portal
Preview Mode
The Portal tab operates in Preview Mode, allowing internal users to interact with the portal experience safely.
You can:
Open tasks
Enter responses
Add comments
Explore the portal layout
However, any answers or comments entered in Preview Mode are not saved.
If the page is refreshed or navigated away from, all responses and comments entered during the preview will be cleared. This ensures that testing the portal experience does not modify real project data.
Portal Live Toggle
At the top of the Portal tab is the Portal Live toggle, which controls whether customers can access the project portal.
When a project is created
The Portal Live toggle is automatically turned on, allowing assigned customers to access the portal.
When a project is completed
The portal is automatically turned off when a project is marked complete.
If a project is later reopened or unarchived, the Portal Live toggle will remain off until it is manually turned back on from the Portal tab.
Once enabled again, customers will regain access to the portal.
What Customers See in the Portal
Customers only see information that has been made visible to them.
Depending on task configuration, customers may see:
Tasks assigned to them
Internal tasks that are visible in the portal
Task instructions and descriptions
Subtasks they need to complete
Project progress
Resources shared with them
Internal-only information remains hidden from the customer portal.
Portal Settings
You can configure portal behavior using the Settings button in the Portal tab.
This opens the Portal Settings panel, where you can configure several portal options.
Preview URL
The Preview URL is a link that allows you to view the portal in preview mode.
This is typically used by internal users to test or review the portal experience before sharing it with customers.
Production URL
The Production URL is the live portal link customers will use to access the project.
Customers assigned to the project will be able to view and interact with the portal when the Portal Live toggle is enabled.
Hide Internal Task Details
This setting controls how internal tasks appear in the portal.
When enabled:
Customers can see that an internal task exists
Subtask details are hidden
This allows teams to provide visibility into progress while keeping internal details private.
Project Welcome Message
The Project Welcome Message appears on the right side of the portal home page.
This section is commonly used to:
Welcome the customer
Provide instructions on how to use the portal
Set expectations for the onboarding process
Include helpful resources such as a video walkthrough
The welcome message can be customized for each project if needed. By default, it may be pre-populated from the playbook configuration, but it can be edited here at any time.
Best Practices for the Portal
Keep the portal simple
Customers should only see the steps that are relevant to them.
Use the welcome message to set expectations
Explain how the onboarding process works and what customers should do next.
Preview before sharing
Use the Portal tab to confirm that tasks and instructions appear correctly.
Use internal visibility controls carefully
Show internal tasks when transparency is helpful, but hide details when appropriate.
