Submit, lock and reopen a week

A week is either a draft or submitted. You submit your own week, it locks, and somebody with permission reopens it if it needs correcting.

Submit your week

Submit on My Time closes the week you are looking at. Every entry in it becomes read-only, including yours.

You submit your own week and nobody else's. A week with no hours in it can still be submitted, which is how you say you were away or that nothing landed on you.

Your due day and time show on the grid. Nothing is blocked at the deadline.

Ask for a week to be reopened

Use Request unlock and add a short note saying what is wrong. It emails whoever your organization has nominated, and the screen tells you who was notified.

Asking again within four hours updates your note without emailing anybody twice. Your request clears once it has been answered.

Who can reopen a week

Set in Settings › Time tracking under Who can unlock a submitted week: Super Admins, which is the default, or Super Admins and Creators.

On the default, a Creator cannot reopen a week, including their own, and does not see the Team tab. If your leads chase timesheets, this is the setting to change.

Reopening somebody's week emails them, quoting the request it answers. Reopening your own is silent.

Anyone who can unlock a week gets a Team tab on My Time, showing everybody's week.

Status

Meaning

Submitted

Done.

Draft

Started, not submitted.

Missing

Nothing logged and nothing submitted.

Unlock requested

Submitted, and this person has asked for it back.

From here you can:

  • Open a colleague's week read-only, at a link you can send to somebody. It shows per-project totals against their capacity, with no notes and no editing.

  • Send a reminder with your own note, without waiting for the automatic one. It tells you whether the email went out.

  • Unlock their week.

People whose Submits time setting is off do not appear.

Reminders

When reminders are on, anybody with an empty or draft week gets an email before the deadline, four hours ahead by default.

  • One reminder per person per week.

  • Only people who have not submitted.

  • Sent in your organization's time zone.
