Map Internal Users and Customer Users in Lanes

When OnRamp creates projects from Lanes, it needs to know which people to pull in automatically — both your internal team members and your customer contacts. Getting this mapping right means every card-to-project conversion starts with the right people already in place.


Step 1: Open Lane Settings

  1. Navigate to Lanes from the left navigation.
  2. Open the lane you want to configure.
  3. Click Lane Settings in the upper right.

Step 2: Add or Edit an Inbound Rule

  1. In the settings modal, go to the Inbound Rules section.
  2. Create a new rule or edit an existing one.
  3. This is where you map fields for both internal and customer users.

Step 3: Map Internal Users

Internal users are pulled from the User object — for example, the Salesforce Opportunity Owner.

  • Map fields like First Name, Last Name, and Email so OnRamp knows which user record to connect.
  • When configuring project creation in the Stage Workflow, select the card field that points back to a User lookup.

Step 4: Map Customer Users

Customer users are mapped from the Contact object.

  • Map fields like First Name, Last Name, and Email.
  • In the Stage Workflow Action for project creation, select a card field that looks up to a Contact record so the correct customer users are added.

Step 5: Configure Stage Workflow Actions

  1. Go to the stage where you want projects to be created.
  2. Add a Project Creation action.
  3. For Project Owner, select a card field that maps to a User (internal user).
  4. For Customer Users, select a card field that maps to a Contact (customer user).
  5. Optionally, check Send invite email to customer users on project creation to notify them automatically.

Tips & Troubleshooting

  • Internal vs. customer confusion? Internal users come from the User object (your colleagues and project owners). Customer users come from the Contact object (client members).
  • Project owner field not valid? Make sure the field you’re choosing maps to a User record that has an email address.
  • Customer users missing after project creation? Check that your card field is actually linked to the Contact object, not a related lookup field.
