Overview
The Resource Hub is a centralized library where your team manages files and links, then assigns them to playbooks and projects so customers always see current, accurate materials in their portal.
What's in the Resource Hub
Unlimited files and links — no file caps per project
Folder organization — group related resources by type, audience, or use case
Flexible assignment — assign resources to all projects, a specific playbook, or individual projects
Update once, sync everywhere — edit a resource in the Resource Hub and changes propagate automatically to every project and playbook it's assigned to
In-app preview — customers can view files without downloading or leaving the portal
Usage tracking — see every playbook and project a resource is currently assigned to
Team collaboration — comment and @mention teammates directly on any resource
Permissions
Who can access the Resource Hub library:
The Resource Hub is accessible to Super Admins and Creators. Collaborators and Contributors do not have direct access to the Resource Hub.
Collaborators and Contributors:
Collaborators and Contributors can add and manage resources from within individual projects. Resources added at the project level are available in the Resource Hub library, but Collaborators and Contributors cannot access or manage the library directly.
Adding resources:
Any Super Admin or Creator can add files and links directly in the Resource Hub.
Editing and deleting resources:
Editing a resource (renaming, replacing the file, updating the description) is available to the person who added it, and anyone they have explicitly shared edit access with.
Deleting a resource is available to the current owner of the resource. Ownership can be transferred, so if ownership has been passed to another team member, that person can delete it.
Hub access vs. portal access:
Sharing permissions on a resource control who on your internal team can view and edit it in the Resource Hub. Whether a resource appears in the customer portal is controlled by the Portal Visibility setting in the Resources tab of a Playbook or Project.
What customers see:
Adding a resource to a project or playbook does not automatically show it to your customer. Each project has a Portal Visibility setting in the Resources tab of a Playbook or Project. Customers can preview files, download files, and open links in a new tab.
Assigning resources to projects and playbooks
Resources can be assigned from the Resource Hub in addition to being added directly to individual projects or playbooks. There are three assignment scopes from the Resource Hub:
All projects — the resource automatically appears on every active and future project in your account
Specific playbook — the resource is added to every project created from that playbook
Individual project — the resource appears only on that project
You can see every location a resource is assigned from its detail page under "Usages."
Portal AI and resources
The portal AI agent can reference and link directly to resources in its responses when a customer asks a question related to a resource's title. The title and description are the primary signals the AI uses to determine relevance — descriptive, keyword-rich titles and descriptions improve how accurately the portal AI surfaces resources in conversation.
Recommended uses
Use a Resource when:
The material applies to multiple customers or projects (e.g., a getting-started guide, security questionnaire template, or product overview deck)
You update the content regularly and need changes to reflect everywhere automatically
You want customers to find the material easily in their portal, outside of any specific task
You want the portal AI to be able to surface the material in conversation

What file types are supported?
The Resource Hub accepts documents (PDF, Word, Excel, PowerPoint, TXT, CSV), images (PNG, JPG, GIF, SVG), video (MP4, MOV, WebM, AVI), audio (MP3, WAV), and archives (ZIP).Is there a file size limit?
The maximum file size is 100 MB per file.How do customers view resources in the portal?
Files open in an in-app preview — customers can read them without leaving the portal. Customers can also download files directly or open links in a new browser tab.How do I remove a resource from a project or playbook?
Navigate to the project or playbook, find the resource in the Resources tab, and remove the assignment. Removing a resource from a project or playbook does not delete it from the Resource Hub library — it simply unlinks it from that location.If I edit a resource, when do customers see the update?
Changes are immediate. Once you save an updated file or description in the Resource Hub, it reflects for every customer currently viewing a project or playbook that resource is assigned to.
