Set up time tracking

Time tracking settings are a Super Admin job. You will find them in Settings › Time tracking. Four sections, saved together with Save changes.
Enable
Setting | What it does |

Time tracking | The master switch. Off means nobody can log hours and the rollups on projects, accounts and Insights stop updating. Existing hours are kept. |
Default weekly capacity | The hours per week that utilization is measured against, for anyone without their own figure. Default 40, from 1 to 168. |

Timesheets
Setting | What it does |

Submission due | The day and time a week is expected to be submitted, in your organization's time zone. Default Friday at 5:00 PM. It drives reminders and the past-due counts in reporting. Nothing is blocked at the deadline. |
Reminders | Whether to email people who still have an empty or draft week, and how many hours before the deadline. Default on, four hours ahead, from 1 to 168 hours. |
Who can unlock a submitted week | Super Admins, or Super Admins and Creators. Default is Super Admins. |
Unlock request emails | Who is emailed when somebody asks for their week to be reopened. The screen lists the names, so you can see who that is. |
Entries

Require a note on every entry | Every new entry must say what the time was for. Entries logged before you turned it on keep their blank notes. |
Budget alerts
Setting | What it does |
|---|---|
Alert project owners | Off by default. Off means nobody is emailed however far a project overruns. |
Alert threshold | The share of a project's allotted hours that triggers the email. Default 80%, from 10 to 200. Above 100 is allowed. |
Set your people up
Manage users, in the Enable section, edits everybody from one screen. The same three fields appear on each person's profile Time tab and on the user create and edit forms. Search by name, email or role.
Column | What it means |

Weekly capacity | This person's own hours per week. Leave it blank to use the organization default. |
Tracking time from | The date from which this person is expected to log. Blank means the day their record was created. |
Only people who can have a timesheet appear here.
Submits time
Turning it off removes that person from reminders, from the Team tab and from the unsubmitted-week counts.
For Contributors and Collaborators it also hides every place they could log hours. This is the setting for somebody who should not be keeping a timesheet at all.
For Super Admins and Creators it stops the reminders but they can still log hours.
Hours already logged are never removed, and they stay in the reports.
Time off
Time off is whole days somebody was away. Those days come out of their capacity, so a week of leave does not read as idle time.
Anyone can record their own, from their profile Time tab or by marking a day off on their timesheet. Recording it for somebody else is a Super Admin action from that person's profile.
Turning it off
Switching the master toggle off stops logging, hides the Time tabs on projects and accounts, and stops showing hours to customers. Your history is kept and the reports still work. Turning it back on resumes where you left off.
