Formula Fields: Let OnRamp Calculate a Value for You
Last updated: November 3, 2026
This feature is available when it's turned on for your organization. If you don't see New formula field on the Data Fields page, contact your OnRamp team.
A formula field is a data field whose value OnRamp calculates for you. Instead of copying dates into a spreadsheet to work out how long something took, you set the calculation up once and every project or account gets its own number.
Formula fields always produce a number. You can calculate two things:
Days between two dates, such as the days from kickoff to install.
Math on numbers, such as adding, subtracting, multiplying or dividing two number or currency fields.
You can add a formula field to projects or accounts.
Create a Formula Field
Go to Settings → Data Fields.
Click New formula field.
Enter a Field name, for example Days in onboarding. A description is optional.
Under Applies to, choose Projects or Accounts. You can't change this after you save.
Under Function, choose Days between two dates or Math on numbers, then fill in the inputs described below.
Click Create field.
OnRamp calculates the value for every existing project or account right away.
Days between two dates
Choose a Start date and an End date. Each can be:
A built-in date. For projects these are Created date, Start date, Go-live date and Completed date. For accounts it's Created date.
A date data field, such as Kickoff Date or Install Date.
Today, which counts up to the current day and keeps counting as time passes.
Then choose how to Count:
Calendar days counts every day.
Weekdays (Mon–Fri) skips Saturdays and Sundays. It does not skip holidays.
Things to know:
The result is blank when either date is empty.
The result is negative when the end date is before the start date.
Counting to Today keeps going after a project is completed. To measure a finished project, use its Completed date as the end date.
The two dates must be different, and a date can't come from another formula field.
Math on numbers
Choose a First number, an Operation (add, subtract, multiply or divide) and a Second number. Each number can be:
A number or currency data field on the same object type.
A fixed number that you type, such as 100 to turn a fraction into a percentage.
Things to know:
At least one of the two inputs must be a field.
You can't divide by a fixed zero. If a field is zero or empty when the formula runs, the result is blank.
A formula can use another formula field as an input, as long as the formulas don't loop back on each other. OnRamp won't save a formula that depends on itself.
Where the Value Appears
A formula field is saved as a regular number on each project or account, so you can use it wherever you use other data fields: on the record's Data Fields tab, as a column, sort or filter in Views, in exports, and in merge fields.
The value is read-only. Nobody can type over it, and it isn't editable from the project list. To change it, change the inputs or edit the formula.
When the Value Updates
OnRamp keeps formula values current on its own:
When a value the formula reads is saved.
When a project is created, or its dates change.
When you create or edit the formula, across every project or account.
Every night. This is what moves a count to Today forward each day.
Because the nightly update handles Today, a day count that ends at Today can lag until the next overnight run.
Edit or Archive a Formula Field
From the Data Fields list, edit a formula field to change its name, inputs or count. Saving recalculates every record. Archiving a formula field works the same as for any other data field.
Tips
Measure the time between milestones. Create one formula field per milestone gap, for example Kickoff → Install and Install → Completion, then build a View with those columns and export it.
Use weekdays for working-time targets, and calendar days for elapsed time the customer would feel.
Name the field for what it measures, such as Days in onboarding, so the column is clear in Views and exports.
